Terms & Conditions

Thank you for choosing AXLV Balloons. By booking with us, you agree to the following terms and conditions. These policies are in place to protect both the client and AXLV Balloons and to ensure a smooth, organized, and beautiful event experience.

1. Booking & Retainer

A 50% non-refundable retainer is required to secure your event date. Your date is not reserved until the retainer has been paid and your booking has been confirmed by AXLV Balloons.

The retainer is applied toward your total balance and is used to reserve your date, begin the design planning process, and purchase the materials and stock needed for your custom setup. Because these items and preparation time are held specifically for your event, the retainer is non-refundable.

2. Final Payment

The remaining balance is due one week before your event or pickup date. If the remaining balance is not paid by the due date, AXLV Balloons reserves the right to cancel the booking, and the retainer will remain non-refundable.

Cash payments are not accepted. Accepted payment methods will be provided at the time of booking.

3. Cancellations

All retainers are non-refundable.

Because AXLV Balloons begins preparing balloon garlands and materials in advance, cancellations made within one week of the event or pickup date will receive a refund of 25% of the total cost only, if the full balance has already been paid.

Cancellations made before the one-week period may be eligible for a refund of any amount paid beyond the non-refundable retainer.

4. Date Changes & Rescheduling

Requests to reschedule are subject to availability and must be approved by AXLV Balloons. Retainers may be transferred to a new date at the discretion of AXLV Balloons if enough notice is provided and the new date is available.

If AXLV Balloons is unavailable for the new requested date, the original retainer remains non-refundable.

5. Design, Colors & Creative Direction

AXLV Balloons will do its best to match the agreed theme, colors, inspiration photos, and design style. However, exact color matches cannot be guaranteed due to balloon manufacturing differences, lighting, photo filters, screen displays, and available stock.

All designs are custom and may vary slightly from inspiration photos. Inspiration photos are used as a guide and will not be copied exactly. AXLV Balloons reserves creative freedom to make design adjustments that best fit the setup, space, materials, and overall aesthetic.

6. Changes to Orders

Any changes to the design, size, colors, rentals, wording, or setup details must be requested as soon as possible. Changes are subject to availability and may result in additional fees.

Changes requested within one week of the event may not be guaranteed, especially if materials have already been purchased or preparation has already begun.

7. Setup, Delivery & Access

The client is responsible for providing accurate event details, including the event date, setup time, pickup time if applicable, venue address, contact person, and any access instructions.

The client must ensure that AXLV Balloons has access to the setup location at the agreed time. Delays in access may affect the final design or setup time. Additional waiting time may result in extra fees.

The setup area must be clean, clear, and ready before AXLV Balloons arrives. AXLV Balloons is not responsible for moving furniture, clearing event spaces, or rearranging venue items unless previously discussed and agreed upon.

8. Outdoor Setups

Outdoor balloon setups are affected by weather, heat, wind, direct sunlight, rain, rough surfaces, and other environmental factors. Balloons may oxidize, shift, deflate, or pop when exposed to outdoor conditions.

AXLV Balloons is not responsible for damage to balloons caused by weather, heat, wind, rain, direct sunlight, sharp surfaces, guests, children, pets, or venue conditions once the setup is complete.

For outdoor setups, shaded and protected areas are strongly recommended. If weather conditions are unsafe or unsuitable, AXLV Balloons may adjust, relocate, or modify the setup as needed.

9. Balloon Care & Safety

Balloons are delicate and can pop or deflate due to heat, sharp objects, rough handling, static, environmental conditions, or other factors beyond our control.

Children and pets should always be supervised around balloons, stands, rentals, and decor. Balloons may pose a choking hazard if popped or deflated. The client assumes responsibility for guest safety once the setup is complete.

10. Rentals & Damages

All rental items, including but not limited to easels, sailboards, stands, frames, signs, and backdrops, remain the property of AXLV Balloons unless otherwise stated.

Rental items must not be moved, altered, removed, or taken apart by the client, guests, or venue staff unless approved by AXLV Balloons. The client is responsible for any damage, loss, theft, or excessive cleaning required for rental items while they are in the client’s possession or at the event location.

Additional fees may apply for damaged, missing, or late-returned rental items.

11. Pickup Orders

For pickup orders, the client is responsible for transporting the balloons safely. Balloons must be placed in a clean, temperature-controlled vehicle with enough space.

AXLV Balloons is not responsible for any damage, popping, shifting, or deflation that occurs after pickup. Balloons should not be left in a hot car, direct sunlight, or extreme temperatures.

12. Venue Rules & Restrictions

The client is responsible for confirming all venue rules, restrictions, setup times, breakdown times, loading access, parking, and decor limitations before the event.

AXLV Balloons is not responsible for issues caused by venue restrictions, denied access, limited setup time, parking problems, or rules that were not communicated before the event.

Any parking, valet, loading dock, permit, or venue-related fees are the responsibility of the client.

13. Breakdown & Cleanup

Breakdown and cleanup are only included if stated in the invoice or agreement. If breakdown service is not included, the client is responsible for removing and disposing of balloons after the event.

If rental items are included, AXLV Balloons will coordinate pickup or breakdown according to the agreed terms.

14. Photography & Social Media

AXLV Balloons may photograph or video the completed setup for portfolio, website, and social media use. No personal client information will be shared without permission.

If the client does not want their setup photographed or posted, this must be communicated in writing before the event.

15. Liability

AXLV Balloons is not responsible for injuries, damages, accidents, allergic reactions, property damage, or other issues that occur after the setup is complete and the display is left in the care of the client, venue, or event guests.

The client agrees to release AXLV Balloons from liability for damage caused by weather, venue conditions, guest interference, children, pets, improper handling, or circumstances outside of AXLV Balloons’ control.

16. Agreement

By paying the retainer, the client confirms that they have read, understood, and agreed to these Terms & Conditions.
